PLEASE READ! *No matter how you mail your list - MOVE UPDATE COMPLIANCE is mandatory!* As of January 2010, you must comply or your mailing will be processed at single-piece prices or at least 44 cents each! From USPS: "The Move Update standard requires that mailers select one of the postal-approved methods to periodically update the addresses contained within a mailing list by comparing the address records on the mailing list against customer-filed change-of-address (COA) orders and making the necessary updates before mailing. Compliance with the Move Update standard reduces the number of mailpieces that require forwarding or return-to-sender services. On November 23, 2008, we expanded the Move Update requirement to include all commercial Standard Mail^®. Commercial First-Class Mail^® has been subject to the Move Update requirement since July 1, 1997. We also changed the minimum frequency of Move Update processing from 185 days to 95 days prior to mailing. Customers must certify on their postage statements which Move Update method they used. Customers who do not use a USPS-approved Move Update method are subject to single-piece prices." There are three options: 1) Have your list processed through NCOA every 95 days; 2) Add "Address Service Requested" to your mailing panel or envelope (charge per piece of at least 50 cents for notification); and 3) If you are not concerned who receives the piece, like a local saturation mailing, use "CURRENT RESIDENT OR" above mailing address. What is NCOA (NCOA^Link) and How Does This Affect Me? *Our cost to do NCOA starts at only $30 for 200-2500 records.** Please call for quote if over 10,000; New customers - cost must be paid in full previous to running this procedure. Don't pay 1st Class postage when it can be avoided! NCOA: ü reduces UAA mail by providing the most current address information for matches made to the NCOA database. ü reduces your costs by reducing the number of undeliverable mail pieces using most current address information. ü provides the opportunity for faster product/service marketing through accurate mail delivery. Our price to do NCOA is only $30 for 200-2,500 records, $55 for 2,501-5,000 records, $80 for 5,001-7,500; $100 for 7501-10,000 records. Remember - doing NCOA is a money saver because cleaning up your mailing list before mailing will remove bad, incomplete addresses, meaning you will mail fewer pieces. Why keep paying to send out mail that is undeliverable? Not only should NCOA be done on your database to save you money on the overall cost of each mailing, but it should also allow your mail to be delivered more quickly and accurately. These reasons alone should more than repay your efforts. In addition to change-of-address information, NCOA also utilizes Return Codes to provide explanation of match and non-match status. Return Codes which indicate that a match was obtained are accompanied by a new address or undeliverable status. Return Codes which indicate a match was not obtained provide the reason a match could not be made to the NCOA file. The analysis of Return Codes can help determine the deliverability of specific address records. We can bring you into full compliance by: ü importing your list and check it through NCOA ü updating the addresses of people who have moved ü removing any non-deliverable addresses ü supplying you with a complete PDF report of any list changes, CASS Certification, and all NCOA documentation certifying your new list ü providing you with a clean, updated mailing list, as well as “bad” addresses in separate lists showing if incomplete or incorrect mailing address, and another with no forwarding addresses o Clean up the “bad” address and put it into your “good” list to run it through NCOA again the next time.
